Document Verification

You must verify the employee is authorized to work in the US in CAPPS. You must also send the complete I-9 form to HR Records within three days of the employee's start date. All fields of the form you send must be addressed.

List A

Complete instructions are available of how to complete the I-9. If the employee has a "List A" document, such as an unexpired US Passport or Permanent Resident Card, you need only confirm and document this single ID.

List B and C

Often employees will rely on documents such as drivers’ licenses or Social Security Cards to support their eligibility to work. In this case, you will need to confirm and document two forms of identification.

8.

Sometimes employees will not have a document but rather a receipt from the Issuing Authority that shows they are in the process of obtaining the document.

In this case, confirm the receipt and document its number and any expiration date.

9.

If the document has an expiration date, enter it.

(If the document had a receipt and receipt expiration - rare - you would also enter these.)

10.

Select the Job Data tab.

(Note the links to the I-9 From and Help Guide.)

11.

Select the Job Data tab.

Confirm the HR Data. If there is some mistake, contact the HHS Employee Service Center.

Check the effective date of hire and the probation date. Accept or change these.

12.

Select the Payroll Data tab.

13.

Select the Save button.

The page will process for some time.

14.

At the completion of the process, the employee ID is populated.

It is suggested you write this down. End.
